Privacy Notice

This notice explains how the While We're Young production uses personal information supplied by applicants, parents or guardians, cast, crew and people who contact the project.

Last updated: 24 October 2026

Who is responsible for your information

The While We're Young production is responsible for deciding how information collected for casting and production is used. Privacy enquiries can be sent to production@whilewereyoungfilm.uk.

Information we may collect

  • Names, ages, contact details and approximate location.
  • Email addresses provided by people who sign up for film updates.
  • Parent or guardian details where an applicant is under 18.
  • Role preferences, availability, experience and accessibility information volunteered by an applicant.
  • Photographs, self-tapes, audition recordings and correspondence.
  • Information needed for consent, safeguarding, licensing, insurance and production planning if someone progresses.
  • Technical information supplied automatically by the services used to host the website, forms or submitted files.

Please do not provide sensitive information unless it is requested for a clear production, accessibility, safeguarding or legal reason.

Website analytics

We count page views and active browsing sessions to understand how the public website is being used. This analytics system is cookieless and does not use advertising identifiers or device fingerprinting. Its records contain the page path, time and a randomly generated session identifier; they do not contain a visitor's name, email address or IP address. The identifier is kept in the browser only for the open tab and is removed when that tab is closed.

Email updates

If you sign up for film updates, we use your email address to send occasional news about casting, filming and the progress of the production. MailerLite provides the sign-up form, manages the mailing list and sends these emails on our behalf. We use your email address for these updates only with your consent. You can unsubscribe at any time by using the link included in every email.

Patreon support

The support page links to Patreon, which is a separate service. Memberships, payments, account details and cancellation are handled by Patreon under its own terms and privacy notice. This website does not receive or store payment-card information. The production may receive supporter information made available through Patreon where needed to provide a stated membership benefit or send an appropriate production update.

How we use information

  • To assess applications and arrange auditions or callbacks.
  • To communicate with applicants and, where relevant, their parent or guardian.
  • To send occasional film updates to people who have chosen to subscribe.
  • To plan rehearsals, filming, travel, accessibility, safeguarding and legal requirements.
  • To maintain production records and respond to questions or concerns.
  • To protect the safety, rights and wellbeing of people involved in the production.
  • To measure anonymous use of the public website and improve its content.

We do not sell applicant or subscriber information or use it for unrelated advertising.

Our reasons for using information

Depending on the information and stage of the production, we may rely on consent, steps requested before entering an agreement, legitimate interests in administering and safeguarding the production and maintaining the website, or a legal obligation. Email updates are sent on the basis of consent. Where consent is used, it can be withdrawn by contacting us or, for email updates, by using the unsubscribe link, although this does not affect use that was lawful before withdrawal.

Who may receive information

Access is limited to people who need the information for casting, production administration or safeguarding. Information may also be handled by providers used for email, online forms, file storage and website hosting. MailerLite processes subscriber email addresses and mailing-list activity on our behalf. Information may also be shared with a local authority, insurer, venue or professional adviser where genuinely required.

Some online service providers may process information outside the UK. Their own safeguards and privacy terms apply to their services.

How long information is kept

Material from applicants who are not cast is intended to be deleted within six months after casting closes, unless the applicant — and their parent or guardian where relevant — asks to be considered for future roles. Records for cast and crew may need to be kept for longer for production, credit, safeguarding, insurance or legal purposes. Subscriber details are kept while a person remains subscribed; after unsubscribing, limited information may be retained on a suppression list so that further updates are not sent. Unnecessary information will be deleted or anonymised.

Your choices and rights

You may ask for access to your information, correction of inaccurate information, deletion or restriction where applicable, or object to certain uses. You may also withdraw consent where consent is being relied upon. Subscribers can withdraw consent at any time through the unsubscribe link in every update. Other requests can be sent to production@whilewereyoungfilm.uk. We may need enough information to confirm who is making the request.

Questions and complaints

Contact production@whilewereyoungfilm.uk with a privacy question or request. If a concern cannot be resolved, people in the UK can also complain to the Information Commissioner's Office.
